Privacy Policy

This policy explains what personal information Yantavo(“we”) collects through this system, why we collect it, who processes it on our behalf, and the choices you have. It covers both our internal staff system and our client portal at this domain.
Who this applies to
Two groups use this system: our own employees, and the contacts at the client companies whose products we manufacture. Accounts are created by us — there is no public sign-up, and we do not collect information from the general public except when someone voluntarily submits our text-notification opt-in form.
What we collect
Employees. Name, work email, role, and a numeric PIN used to attribute production actions (stored only as a one-way hash, never in readable form). If you use them: phone number for notifications, date of birth, wage and time-record data for payroll, a profile photo, notes recorded by managers, photographs of paper time cards, and — when you clock in from your own phone — the GPS coordinates and accuracy at that moment, to confirm you were at the facility.
Client contacts. Name, business email, optional phone number, the companies and product lines you are permitted to see, and your activity in the portal (orders placed, counts you record, invoices you view).
Text-message opt-ins. Mobile number, the exact consent wording you agreed to, and the date and time you agreed — kept as proof of consent.
Operational records. Production, inventory, order, and pickup records, including photographs of packages staged for pickup. These are business records; they reference the person who recorded them by name.
We do not collect payment card numbers, and we do not use advertising trackers.
Why we collect it
To run production and account for it accurately; to attribute every count and edit to a real person, which is what makes our records auditable; to schedule and pay staff; to let clients follow their own orders and inventory; to send the notifications you have asked for; and to keep the system secure.
Text messages
We send texts only to people who have opted in, and only about orders, pickups, deliveries, shifts, and production. We do not send marketing texts. Message frequency varies; message and data rates may apply. Reply STOP to any message to stop receiving them, or HELP for help. Full detail is in our SMS messaging terms. We do not sell or share mobile numbers with anyone, and consent to texts is never a condition of purchase or of employment.
Who processes data for us
We use a small number of service providers, each handling only what their function requires and none of them permitted to use it for their own purposes:
- Vercel — application hosting
- Neon — database hosting
- Cloudflare R2 — storage for uploaded photos and documents
- Resend — outbound email
- Twilio — outbound text messages
- Anthropic — AI features that summarize our own operational data and translate messages between English and Spanish
- Plaid — read-only bank-transaction retrieval for our bookkeeping, if and when we enable it
We do not sell personal information, and we do not share it for advertising. We disclose information otherwise only where the law requires it.
How long we keep it
Production, inventory, and financial records are retained as long as needed for business and tax purposes. Employment and payroll records are kept for the periods required by law. Consent records for text messages are kept for as long as we may need to evidence that consent. Our audit log is append-only by design: entries record who changed what and when, and are not edited or deleted.
Security
Access is limited by role, and each person sees only what their role and their assigned companies, product lines, and locations permit. Passwords and PINs are stored as one-way hashes. Uploaded files are held in private storage and served only through short-lived, access-checked links. Connections are encrypted in transit.
Your choices
You can turn individual notification types on or off per channel in your profile. You can stop texts at any time by replying STOP. You may ask us what personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it — email us using the address below. If you are a California resident, you may exercise the rights the CCPA gives you, and we will not discriminate against you for doing so.
Children
This system is for our staff and our business clients. It is not directed at children and we do not knowingly collect information from anyone under 16.
Changes
If we change this policy we will update the date at the top. Material changes affecting how we use your information will be communicated to affected users.
